Getting Started
A plain-English walkthrough of how Keen Owner works and how to get the most out of it.
What is Keen Owner?
Keen Owner is a digital record for your home. Think of it like a filing cabinet that never gets lost — one place to keep track of everything you own, when things need to be serviced, and when warranties are about to expire.
There are three things it helps you with:
- Items — a list of everything in your home: appliances, electronics, tools, furniture, and more. You can attach receipts, photos, and warranty info to each one.
- Maintenance — recurring tasks like changing your HVAC filter, cleaning your dryer vent, or servicing your water heater. Set it up once and we'll remind you when it's time.
- Warranties — automatic alerts before your coverage runs out. No more digging through a drawer of old receipts when something breaks.
1. Create Your Account
Go to the login page and sign in with Google, or enter your email address and create a password. Your account is created automatically the first time you sign in.
You'll start on the Free plan, which lets you track up to 25 items and 10 rooms. You can upgrade at any time if you need more.
2. Add Your Home
When you first sign in, you'll be asked to give your home a name. This is just for you — something like “Our House”, “The Lake Cabin”, or your street address works great.
You can also enter:
- Home type — Primary residence or Short-Term Rental (STR)
- ZIP code — optional, used to suggest region-appropriate maintenance tasks
Once you save, three starter rooms (Kitchen, Living Room, Bedroom) are added automatically. You can rename them, delete them, or add more rooms at any time under Locations.
If you have a short-term rental (like an Airbnb), selecting STR unlocks a separate tab with booking management, expense tracking, mileage logs, and tax reports.
3. Your Dashboard
The dashboard is your home's overview. Once you've started adding items, you'll see:
- Getting Started checklist — a short to-do list to help you get set up. It disappears once you've completed the basics.
- Stats — how many items you've logged, how many rooms you have, and how many maintenance tasks are due this week
- Upcoming Maintenance — tasks coming up in the next 30 days, highlighted in yellow or red if they're overdue
- Warranty Alerts — items whose warranties expire in the next 30 days
- Recently Added — the last few items you logged
You can add a photo of your home on the dashboard. Go to Account → Householdsto upload or change it.
4. Adding Items
An “item” is anything in your home worth keeping track of — your refrigerator, washing machine, TV, lawn mower, couch, or power tools, for example.
To add one, tap + Add Item (or + Add Purchase if you have a receipt to attach). You can fill in as much or as little as you like:
- Name — e.g., “LG French Door Refrigerator”
- Room — where it lives (Kitchen, Garage, etc.)
- Purchase date & price — useful for insurance claims
- Warranty dates — manufacturer and extended. We'll email you before they expire.
- Photo or receipt — attach an image for easy reference
If you have a lot of items to add at once, the Home plan includes a CSV import tool. Go to Items and look for the import button.
5. Getting Around the App
On a phone, use the navigation bar at the bottom of the screen. On a computer, use the sidebar on the left.
- Dashboard — your home overview
- Items — your full list of belongings
- Locations — your rooms and areas
- Maintenance — your recurring task schedule
- Vendors — contractors and service providers you use
- STR (only if you have a short-term rental) — bookings, expenses, and tax reports
Use the search bar at the top to find anything quickly. On a keyboard, press Cmd+K (Mac) or Ctrl+K (Windows) to open it instantly.
6. Plans & Limits
Keen Owner has three plans. You can start free and upgrade whenever you need more:
- Up to 25 items
- Up to 10 rooms
- Warranty & maintenance tracking
- Up to 250 items
- Up to 50 rooms
- CSV import for bulk entry
- Unlimited items & rooms
- Booking management & iCal sync
- Expense tracking & tax reports
To upgrade, go to Account → Billing. If you run into a limit, you'll see a message explaining your options.
