Warranties & Maintenance

Never miss a warranty expiration or overdue maintenance task again.

Tracking Warranties

Each item can have two types of warranty:

  • Manufacturer Warranty — set the expiration date when you add or edit an item. This is the standard warranty that comes with the product.
  • Extended Warranty — if you purchased an extended warranty or protection plan, add the provider name and expiration date separately.

To add warranty info, go to any item's detail page and click Edit. Scroll to the warranty section and fill in the dates.

Warranty Alerts

Your dashboard automatically shows warranty alerts for items expiring in the next 30 days. Alerts are color-coded:

  • Yellow — warranty expiring soon (within 30 days)
  • Red — warranty already expired

Click on any warranty alert to go directly to that item's detail page where you can take action — file a claim, contact the manufacturer, or purchase an extended warranty.

Maintenance Schedules

Go to Maintenance in the sidebar to view and manage recurring maintenance tasks. Maintenance schedules help you stay on top of regular upkeep like:

  • HVAC filter changes (every 3 months)
  • Smoke detector battery replacement (every 6 months)
  • Gutter cleaning (every 6 months)
  • Water heater flush (annually)
  • Appliance maintenance (as recommended)

Creating a Maintenance Schedule

Click + Add Schedule on the maintenance page. For each schedule, you set:

  • Task name — what needs to be done, e.g., “Replace HVAC filter”
  • Linked item — which item this maintenance is for
  • Frequency — how often (monthly, quarterly, semi-annually, annually, or custom)
  • Next due date — when it's next due
  • Notes — filter size, part numbers, or special instructions

Completing & Tracking Tasks

When a maintenance task is due, it appears on both the maintenance page and your dashboard in the “Upcoming Maintenance” section. Tasks are color-coded:

  • Red — overdue
  • Yellow — due within the next 7 days
  • Normal — due within the next 30 days

Mark a task as complete to automatically calculate the next due date based on the frequency you set. This keeps your schedule rolling without manual updates.

Email Reminders

Keen Owner sends email reminders when maintenance tasks are coming due or overdue. Reminders are sent automatically — no setup needed. You'll receive them at the email address you used to sign in.
